How to Create and Export PDF Invoices for Churches

Follow these detailed steps to bill churches for your counseling services. We'll go through adding churches, clients, sessions, and finally exporting PDFs.

Add Your Supporting Churches

Step 1.1: From the main dashboard, click on the "Churches" card (it has a church icon).

Step 1.2: On the Churches page, click the green "Add New Church" button at the top.

Step 1.3: Fill in the church information:

  • Church name (required)
  • Primary contact name (required)
  • Title (like "Pastor" or "Office Manager")
  • Primary email address
  • Optional: Second contact name, title, and email
  • Phone number
  • Street address, city, state, ZIP code

Step 1.4: Click the "Save Church" button (green with a checkmark).

Step 1.5: You'll see a success message. Repeat for each church you work with.

Add Your Clients

Step 2.1: Go back to the main dashboard and click the "Clients" card.

Step 2.2: Click the "Add New Client" button.

Step 2.3: Enter only the client code provided by the supporting church (this is usually a short code like "BB" or "NP").

Step 2.4: From the dropdown, select the church that provided this client code.

Step 2.5: Click "Save".

Step 2.6: Repeat for each client code given to you by churches.

Add a Session for Billing

Step 3.1: Click the "Sessions" card on the main dashboard.

Step 3.2: Click "Add Session".

Step 3.3: Select the client from the dropdown (start typing their code).

Step 3.4: Enter the session date. Type just MMDD (like "0430" for April 30 of the current year) or use the full YYYY-MM-DD format.

Step 3.5: Enter the amount to invoice for this session (just the number, like 150).

Step 3.6: Click "Save Session".

Step 3.7: Repeat for each session. Sessions are grouped by month for billing.

Generate and Export PDF Invoices

Step 4.1: Click the "Invoices" card on the main dashboard.

Step 4.2: Select the church you want to bill from the dropdown at the top.

Step 4.3: Choose the billing month (usually the previous month).

Step 4.4: Review the sessions listed - they should show clients and amounts for that month.

Step 4.5: Click the "Export PDF" button (it has a download icon).

Step 4.6: Your browser will download the PDF invoice automatically.

Step 4.7: Open the PDF to check it looks correct, then email it to the church.

PDF Settings (Important!)

Before exporting PDFs, make sure your practice information is set up correctly.

On the Invoices page:

  • Click the gear icon (Settings) next to "Export PDF"
  • Fill in your practice name, address, phone, email, website
  • Add any footer text you want on invoices
  • Click "Save Settings"

This information will appear on all your PDF invoices.

Helpful Tips

  • • Always double-check session dates and amounts before exporting
  • • PDFs are saved with names like "Invoice-001-ChurchName-2024-03.pdf"
  • • You can edit churches, clients, or sessions by clicking the pencil icon next to them
  • • Sessions are automatically sorted by date and grouped by client
  • • If something doesn't work, try refreshing the page or contact your admin
  • • The app works best in Chrome or Firefox browsers
